The agreement between Orbit and you when you book a session. Written to be read, not to be skipped.

1. About these terms
These terms apply when you book or attend a session with Orbit, the executive functioning coaching and tutoring service operated under the registered business name Orbiting Minds ("Orbit", "Orbiting Minds", "we", "us"). By booking a consultation, a session, a term package or a holiday intensive, you agree to them. Where a student is under 18, these terms are agreed to by the parent or guardian arranging the sessions.
If anything here is unclear, please ask before booking. Booking a complimentary 15-minute consultation is a perfectly good way to do that.
2. Services
Orbit provides one-to-one coaching in executive functioning skills, along with holiday intensive programs which may be delivered one-to-one or in small groups of no more than three students of similar age and identified needs.
Sessions predominantly target executive functioning skills — planning, organisation, time management, task initiation, prioritising, managing distraction, self-monitoring and the self-talk that supports them. The medium through which these skills are taught varies by student, and specific academic focus is available across all subject areas.
Session content and structure are flexible and are set in the initial consultation, then adjusted in ongoing review meetings.
What Orbit is not
Orbit, operated by Orbiting Minds, is an educational coaching and tutoring service. It is not psychological, medical, diagnostic or allied health treatment, and it does not diagnose or treat any condition. We do not provide assessments or reports for diagnostic, funding or accommodation purposes. Where a student may benefit from allied health or psychological support, we will say so and encourage you to seek it alongside coaching.
3. Bookings
The initial 15-minute consultation is complimentary and is booked through our online booking calendar. Completing the client intake form before that consultation is strongly recommended, and is noted in your booking confirmation — it allows the full fifteen minutes to be spent discussing your student.
Ongoing sessions run Monday to Saturday between 7am and 7pm. Regular weekly slots are available and are subject to availability. A booking is confirmed once a time has been agreed and confirmed by us.
4. Fees & payment
- Individual sessions are $110 per hour, billed weekly.
- The bulk-buy term package is $900 for ten sessions.
- Holiday intensives are $500 per week, billed weekly.
- The initial 15-minute consultation, the end-of-term 15-minute review, weekly session notes and the term progress report are provided at no charge.
All amounts are in Australian dollars. Invoices are issued weekly and payment is due by the date shown on the invoice. Term packages are paid upfront. If fees remain unpaid, we may pause future sessions until the account is settled — we will always contact you first.
Fees may change from time to time. Existing clients will be given at least four weeks' notice in writing before any change takes effect, and any term package already paid for is honoured at the price paid.
5. Cancellations
In the event of an emergency, cancellations are always free of charge. Outside of emergencies, leniency is granted for up to three non-motivation no-shows, after which the full session amount is charged. Where possible, please notify us of schedule changes in advance so a make-up session can be arranged. If a change is required from our end, you will be notified as soon as possible and offered a make-up session at no additional cost.

6. What to expect
You can expect sessions to start and finish on time, detailed written session notes provided weekly covering progress made and areas for future focus, and a complimentary 15-minute review meeting once at the end of each term with a detailed written progress report.
Coaching outcomes depend on the student's engagement, their circumstances and the time given to new habits. Executive functioning is a skill set built over months, not a switch that is flipped. For that reason Orbit cannot and does not guarantee particular academic results, grades or outcomes.
7. Working with Children Check
Your coach holds a current Working with Children Check (WWCC). The check number, and the details needed to verify it, are provided to you before sessions begin so that you can confirm it yourself through your state or territory register prior to the first session. We encourage every parent to do so.
8. Student & parent responsibilities
- Provide accurate information in the intake form and tell us if circumstances change materially.
- Arrive on time and ready to work, with any relevant materials or assignments to hand.
- For online sessions, ensure a workable internet connection and a quiet space where the student can concentrate.
- Treat the coach, and any other students in a group intensive, with respect.
We may end a session early, or decline to continue sessions, where behaviour is unsafe or persistently disrupts a group. This is rare, and we will always discuss it with you first.
9. Privacy
Information you provide is handled in line with our privacy notice, which explains what is collected, why, how long it is kept and how to have it corrected or deleted. Session notes and progress reports are shared with the parent or guardian who arranged the sessions, and with the student.
10. Materials
Worksheets, planners, templates, frameworks and written materials provided during sessions remain the intellectual property of Orbit. You are welcome to use them freely for the student's own learning. Please do not resell them or distribute them commercially.
11. Limits
Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law. Where we are permitted to limit our liability, our liability is limited to re-supplying the relevant service or refunding the amount you paid for it.
To the extent permitted by law, Orbit is not liable for indirect or consequential loss, including academic results or missed opportunities.
12. Changes to these terms
We may update these terms from time to time. The current version always appears on this page with its last-updated date. Material changes affecting existing clients will be notified in writing.
